Getting started: your first hour in PBRE CRM

A quick tour of the workspace and the five things to set up first: contacts, a pipeline, tasks, files and your team.

Basics8 min read

PBRE CRM is organised around the people, properties and work in your business. This guide gets you from a blank workspace to a working setup in about an hour.

Take the tour

The menu on the left is how you move around. The main areas are:

  • Dashboard - what is due today, your key numbers and the deals that need attention.
  • Contacts and Companies - the people and organisations you work with.
  • Properties - your listings and the details, updates and documents for each.
  • Pipeline - your deals laid out by stage.
  • Tasks, Calendar and Projects - the work that needs doing.
  • File Manager and Submissions - every document, and the leads that arrive from your website.

Press Ctrl + K (or Cmd + K on a Mac) anywhere to open quick search and jump to any contact, deal or page.

1. Add your contacts

Open Contacts and choose Add Contact for a one-off, or bring in a spreadsheet with the CSV import described in our import guide. Set a type (Lead, Client, Past client, Vendor or Other), a source and an owner for each person.

2. Set up your pipeline

Open Pipeline. Every deal belongs to a pipeline made of stages such as New Lead, Contacted, Proposal Sent, Negotiating, Won and Lost. Rename the stages to match how you work. See Pipelines and stages for details, then add your first deal with Add Deal.

3. Create tasks

Open Tasks and choose Add Task. Give it a title, a due date and an owner. You can link it to a contact, deal or project, and add a checklist, comments and attachments once the task is open.

4. Attach files

Open any contact, deal, property, project or task and attach documents or photos. Everything you add is gathered in the File Manager where you can search, preview and download.

5. Invite your team

Open Settings and choose Add Member under Team Members. Pick a role for each person: Admin, Manager or Agent. Our roles guide explains what each can see and do.

Tip: turn on two-factor sign-in for yourself as soon as you are set up. It takes a minute and protects your whole account. See Turn on two-factor sign-in.

What to do next

  • Add a few properties and link them to their owners.
  • Connect your website form so new enquiries arrive in your inbox.
  • Bookmark the site on your phone with the mobile guide.
