If your contacts live in a spreadsheet, you can bring them across in a few minutes. Export or save the sheet as a CSV file first (in Excel or Google Sheets: File, Save as, CSV).
Prepare your file
The first row of your file must be a header row. These column names are recognised:
| Column | What it fills in |
|---|---|
first_name | First name |
last_name | Last name |
email | Email address |
phone | Phone number |
type | Lead, Client, Past Client, Vendor or Other (defaults to Lead) |
source | Where the contact came from (defaults to CSV Import) |
service | The service they are interested in |
notes | Any notes |
Columns with other names are ignored, and a row needs at least a first name or an email address to be imported.

Run the import
- Open Settings and find the Data section.
- Choose Import Contacts and select your CSV file.
- Start the import. A progress bar shows how many rows are done, and a summary tells you how many were imported and how many were skipped.
Find and merge duplicates
Imports often bring in people who already exist. Managers and admins can open Duplicates in the menu to review them.
- The page groups contacts that share an email address, a phone number or a full name, and shows why each group matched.
- In each group, choose the record to keep. The most complete one is selected for you.
- Tick the records to merge into it, then choose Merge selected.
When you merge, blank fields on the kept record are filled from the others, notes are combined, and deals, tasks, notes, files and history all move to the kept contact. If two records are not really the same person, choose Not duplicates to hide the group.
Exporting later
You can export your contacts at any time with the CSV button at the top of the Contacts page. The export follows the filters you have applied.
