This worked example shows how the pieces of PBRE CRM fit together for one listing. Adapt the steps to your own process.
1. Capture the owner
Add the property owner as a Contact with type Lead. If they came from your website, convert their submission so the source and message are saved. If they work for a company, choose the company on the contact so everything rolls up.
2. Add the property
Open Properties and choose Add Property. Enter the address, type, price and specifications, and choose the owner as the contact. Add a photo so the listing is easy to recognise.
3. Create the deal
In Pipeline, add a deal for the listing in your listings pipeline, linked to the owner. Set the expected value and close date, then link the deal on the property so you can jump between the two.
4. Plan the work
Create tasks for the steps ahead: listing agreement, photography, pricing review, sign and lockbox, open house. Assign each to the right person and link it to the contact or deal. Use checklists for anything with several parts. These all appear on the Calendar.
5. Attach the paperwork
Upload the listing agreement, survey and photos to the property or deal. Everything is searchable later in the File Manager.
6. Log updates as you go
On the property, use Log an update for site visits, price changes and conversations. The latest updates appear on the overview and the full timeline keeps the story.
7. Run marketing as a project
If you are delivering marketing for the listing, convert the deal or create a project. Use a playbook of standard tasks, track progress with task buckets and record any invoices.
8. Close it out
- Move the deal to Won when it closes. Reports update immediately.
- Set the property status to Closed.
- Change the contact type to Past Client and add a follow-up task for a check-in next quarter.
