Set up your pipelines and stages

Create pipelines that match how you sell, add deals, and move them from first contact to won.

Sales7 min read

A pipeline is the path a deal follows from first contact to closed. You can have several, each with its own stages.

Create a pipeline

  1. Open Pipeline and choose New Pipeline.
  2. Name it, pick a colour, and list its stages in order, for example New Lead, Contacted, Proposal Sent, Negotiating, Won, Lost.
  3. Save. Use Manage to rename stages later or make a pipeline the default.
Tip: many teams keep one pipeline for services, one for listings and one for off-market opportunities, each with different stages.

Add a deal

Choose Add Deal. Give it a name, link the contact, choose the pipeline and stage, and set a value, a probability and an expected close date. Decide whether the value is one-time or a monthly retainer.

  • One-time values count as written in your totals.
  • Monthly values count toward monthly recurring revenue and are annualised in pipeline totals so they compare fairly with one-time deals.

Move deals forward

On a computer, drag a card to the next column. On a phone or tablet, use the Move to stage dropdown on the card. Moving a deal to Won or Lost updates your reports and records the change in the activity feed.

Keep a log on each deal

Open a deal to add notes as things happen. Each note is time-stamped with who wrote it, giving you a running log. Attach proposals and agreements to the deal as files, and open the History section to see every change.

Save the views you use

Use the view chips above the board to filter, for example, open deals only, or a single stage. Save a view and it appears as a chip you can click any time.

When you win

Open a won deal and choose Convert to project to start delivery. The client, value and billing type carry across, and the project stays linked to the deal.
